What is included in the tour price?

An overview of the services included is specified for each tour (at the bottom of the tour page under “services included”).

How large is the group?

There are maximum 28-40 guests on the guided tours in Scandinavia (depending on the tour). In the Baltics and Iceland, there can be up to 45; the average is about 30-35 persons though. There are some tours in Iceland that are small-group tours of max. 18-20 guests

Which language is used on the tour?

All coach tours are accompanied by an experienced English-speaking tour escort. The guiding and information provided will be in English only on our tours in Scandinavia and Iceland. The tours solely in the Baltic States might be bilingual (English/German) if German customers are booked on a particular departure. The tour escort will repeat all information in both languages.

When and where will we meet the tour escort?

On the tours in Scandinavia the tour escort will meet you in your hotel lobby in the evening on your first day of the tour (followed by dinner). On the tours in the Baltics, you will meet at 19:00 hrs for a welcome meeting (followed by dinner). In Iceland, you meet the tour escort in the morning of the second day before the tour starts.

Will I meet a representative from Authentic Scandinavia during my trip?

Since we offer tours throughout the Nordic countries and the Baltics we do not have staff available to meet you in person during your travels with us. Please rest assured however that we are always available through phone and email during our office hours and through our emergency phone outside our office hours should you require any assistance during your travels.  

Is airport transfer included?

Scandinavia: 

Airport transfer is not included. You can book this as an additional service in advance or on spot; information on how to get from the airport to your hotel will be provided with the travel documents. Please be aware that certain airlines offer cheaper flights to alternative airports from the main city airport, even though these airlines may advertise the destination as Oslo, Stockholm, etc. Such airports can be situated more than 2 hours’ drive from your hotel. If you are arriving at or departing from a different airport, please let us know and we will give you instructions on how to get to the city centre.

Baltics: 

Transfers by car, taxi or bus between the local airport mentioned in the tour itinerary and your hotel on both arrival and departure is included in the price of our guided coach tours. Transfers will be arranged to coincide as conveniently as possible with your flight arrival and departure times. All clients will be met at the airport by a representative, who will assist you in finding the transfer vehicle. In the case of delayed arrivals due to flight changes or other causes of which Authentic Scandinavia has not been informed in advance, Authentic Scandinavia is no longer responsible for providing the transfer. We regret that no refund can be given to clients who do not make use of the transfer offered in the tour program.

Iceland: 

Airport transfer is not included. You can book this as an additional service in advance or on spot; information on how to get from the airport to your hotel will be provided with the travel documents. 

What is the difference between a panorama city tour, an introduction city walk and a city sightseeing tour?

A panorama city tour is intended to familiarize you with the city or town by showing you the major points of interest. Transportation may be by coach or on foot, and the tour may be conducted by a local guide or by your tour escort. A panorama tour does not include any entrances unless otherwise mentioned under “services included”.
 

An introduction city walk is similar to the panorama city tour with the difference that the tour will be on foot and always conducted by the tour escort.
 

City sightseeing tours are guided by an authorized local guide. Museums and other places, to which entrance is included, are specified in the list of “services included” for each tour. The mention of a famous sight, such as a royal palace, does not imply that entrance to this attraction is included in the program.
 

There are no panorama or city sightseeing tours in Iceland; the above information is only valid for Scandinavia and the Baltics.

Are all meals included in the tour price?

Scandinavia: 

Dinner (3 courses or Scandinavian buffet) and buffet breakfast are included during every day of the tour (including dinner on day of arrival and buffet breakfast on day of departure) with the exceptions of one or two evenings. Days on which lunch is included will be indicated in the itinerary as well as under “services included” for each tour. Beverages are not included in the tour price and must be ordered and paid on spot, with some exceptions where this is mentioned otherwise. For a full overview please refer to "services included" for each tour. Dinners will be set menus for the welcome and farewell dinners. Dinners in the fjord areas will be buffet style.

Baltics: 

Dinner (3 courses or buffet) and buffet breakfast are included during every day of the tour, including dinner on day of arrival and buffet breakfast on day of departure. Lunch is not included in the tours.

Iceland: 

Dinners are included at the hotels in the countryside, with the exception of one or two evenings. This is specified on the website for the specific tour. Dinner is not included the first and last night in Reykjavik. Buffet breakfast is included for all days. Lunch is not included in the tours.

All countries: 

Dinner is served at set times, and in the case of late arrivals on the first day it may not be possible to serve dinner after that time. We regret that no refund can be made to customers who arrive too late for dinner. Similarly, no refund can be made for customers who are unable to take breakfast at the hotel because of early flight departures. Beverages are not included in the tour price, except where specifically stated in the itinerary. Vegetarian or special diet meals can normally be arranged; however, these must be requested at the time of booking.

Extra nights: Customers who have reserved extra nights before the start or after the end of a tour have Scandinavian buffet breakfast included each day.

How much luggage can I bring?

Each person may bring one piece of luggage per person on the coach, plus one carry on/hand luggage. Hand luggage must be stowed on the overhead shelf. For reasons of security and as a precaution against theft, we strongly advise the use of hardback suitcases which can be locked. 

Is porter service included?

Scandinavia and Baltics: The carrying of 1 piece of luggage per person between the coach and your hotel room during the tour is always included in the tour price. Because of security regulations, passengers are required to collect and deliver their own luggage at airports.

Iceland: Porter service is not included (and not offered).

Does the tour leader expect to be tipped?

Can I join only parts of the tour?

It is unfortunately not possible to join only parts of the tour, as the place will then be blocked for other travelers for the entire tour. It is however possible to add additional services before and/or after the tour, i.e. you can combine an escorted tour with one of our independent tours or a cruise with for example Hurtigruten or Göta Canal. 

What is the child reduction for the guided coach tours?

The guided coach tours in Scandinavia are considered unsuitable for younger children, thus children under the age of 12 will not be accepted. Children between the ages of 12-18 must be accompanied by an adult (no child reduction).

On the tours in the Baltics, children are accepted and will receive a 50% discount up to 12 years of age (for one child sharing a room with two adults; a second child pays full price). But also these tours are not really set up to please children and we don't recommend them for families with young children.

In Iceland, children from the age of 6 are accepted on the guided coach tours. Up to two children between 6 and 12 years will receive a 25% discount on the adult rate when sharing the room with two full paying persons. Children older than 12 have to pay full price. Please note that not all hotels offer rooms for up to four people; in these cases two rooms have to be booked.

How and when will I receive my travel documents?

All travel documents will be sent by e-mail approximately one month prior to travel and when final payment is received. Included in the travel documents are a detailed travel itinerary and travel vouchers. You will receive one travel voucher for the guided coach tour, and one travel voucher for each additional service booked. These vouchers are your proof of payment and must be presented to the tour leader and hotel reception upon check-in.
